The executive wants something, the department does too, and the line management certainly does—all by Friday? Prioritization in project management rarely fails because of the method itself, but rather because no one can reconcile the competing demands—and often it’s not even clear who makes the decisions. That’s exactly what you’ll practice on this day, on three levels: for yourself as a project manager or project lead, within the project team, and with all the “ stakeholders ” who have demands from “outside.” You’ll learn to prioritize the right tasks yourself, facilitate prioritization decisions, and clear out zombie tasks and scope creep from the project. In the process, you’ll negotiate priorities within defined frameworks, boundaries, and alternatives; make confident decisions; and discover how AI can support you in this process. By the end, you’ll have clarity for yourself and your project and will be able to apply these insights directly to your day-to-day project work.

When many tasks seem important at the same time, clear criteria are more helpful than spontaneous decisions. You’ll learn to systematically evaluate urgency, importance, and actual value, and to use methods like the Eisenhower and Pareto principles effectively. This will allow you to prioritize tasks more effectively and make well-reasoned decisions about what to focus on first.

Differing expectations can quickly lead to conflicts over priorities. It is crucial to make responsibilities and decision-making processes transparent and to openly resolve conflicting requirements. To do this, you’ll explore appropriate decision-making models and learn how to negotiate priorities in a way that everyone can agree on. This provides more clarity within the project and takes some of the pressure off the team.

New requirements can gradually expand the project scope and push important tasks to the sidelines. That’s why it’s important to consciously evaluate additional topics and regularly assess which tasks still make sense. Approaches like Ecocycle Planning help you identify what’s unnecessary, limit scope creep, and refocus on the key project goals.

A professional “no” is most effective when you not only set a boundary but also clearly explain the implications of taking on an additional task. You practice clearly stating what is possible, what would have to be postponed as a result, and what realistic alternatives exist. This allows you to respond confidently without coming across as uncooperative or making promises you won’t be able to keep later.

Knowing your priorities is only the first step. The key is to actually put them into practice in your day-to-day work, despite interruptions and changing demands. Techniques such as single-tasking, microbreaks, the “Top 3” rule, and being mindful of your energy levels can help you work with greater focus and make more consistent progress on important tasks.
