Beginners rarely struggle with the prompt itself. They struggle with choosing the right tool because there are five options for the same task, and none of them clearly indicates what it’s best suited for. This decision-making process is the central theme of the two-day workshop. You don’t need any prior knowledge. Before we dive into the tools, we’ll briefly explain what generative AI is and how it produces its results. You’ll work with ChatGPT and Claude, conduct research using Perplexity, query a 40-page document, analyze an Excel spreadsheet, generate images and a presentation in Gamma, have a meeting transcript and to-do list written from a recording, and build your own assistant on the second afternoon—all without writing a single line of code. Each tool category follows the same format: a brief overview, a live demo, and hands-on practice on your own device. The instruction sessions are limited to blocks of no more than twenty minutes; the rest of the time, you’ll work on your own. You’ll practice using prepared scenarios and questions you bring from your everyday life. You can try out all the tools shown for free. So you don’t need to initiate any procurement process to continue after the “ training .” You’ll also get to know one tool in its paid version: Claude. You’ll be granted access for 30 days—exactly the duration covered by your Transferplan. By working on the same task, you’ll see the limitations of the free version compared to the paid version. By the end, you’ll have five things: your own collection of prompts, a custom-built assistant, a classification of your data, a plan for the first three tasks as a team, and an overview of which tool is best suited for each type of task. The “ training ” (AI Competence Workshop) teaches AI competence as defined in Article 4 of the AI Regulation.
Contents

1. Basics: What Is Generative AI and How Does It Work?

    • Training and Inference: How an AI Model Learns from Data and Generates Results.
    • The types of data a model processes: text, images, audio, video, and numbers.
    • Where made-up answers come from and why they aren't a program error.
    • Outlook: From pure text generation to agent-based AI with its own tools.

2. Map of AI Tools

    • Seven tool categories: Assistant, Research, Documents, Data, Media, Meetings, Automation.
    • Four selection criteria: task, data class, testing effort, and licensing status.
    • What we already have in-house and what that means for our selection.

3. The Assistant as an Everyday Tool

    • User Interface, Model Selection, Files, Projects, and Storage: A Case Study of ChatGPT and Claude.
    • Keeping an Eye on Boundaries: Math, Current Events, Quotes.
    • Microsoft Copilot: What It Can Already Do Here at the Office, and Why We're Practicing with Freely Available Tools.
    • Comparing the free plan and the paid version using Claude as an example: usage limits, document length, and handling of input.

4. Prompts That Stick in Everyday Life

    • Five elements of a good instruction: Role, Goal, Context, Format, Example.
    • Refine rather than start over: Critique of the results, variations, cross-check.
    • Your own collection of prompts for two recurring tasks in your daily work.

5. Research Using Sources

    • A direct comparison of Perplexity and the assistants' research features.
    • Request supporting documentation, evaluate sources, and identify common errors.

6. Documents and Personal Knowledge

    • Search, compare, and summarize long PDFs.
    • Projects in Claude and ChatGPT as a repository for material that is used repeatedly.
    • What to Keep in Mind When Uploading Documents.

7. Analyzing Tables and Numbers

    • Analyze Excel data without writing a formula.
    • Generate and explain formulas, including those inherited from the previous version.
    • Clean up data: duplicates, inconsistent spellings, date formats, numbers stored as text.
    • Verify results: random sampling, plausibility, typical calculation errors.

8. Create Images and Presentations

    • Creating and customizing images, usage rights, and attribution.
    • Create a presentation in Gamma from a text and reuse it.

9. Meetings, Mailbox, and Everyday Office Life

    • Transcriptions and meeting minutes, including consent forms and record retention.
    • Recurring correspondence using templates instead of individual prompts.

10. Your First Personal Assistant

    • When is it worth having your own assistant, and when is a saved instruction enough?
    • Setup Without Programming: Instructions, Knowledge Files, Examples, Test.
    • A Comparison of Two Approaches: Projects in Claude and ChatGPT.
    • Why we build assistants in places where they'll still be running a year from now.

11. Data, Legal Matters, and Team Agreements

    • Data Traffic Light: Which data can go into which tool.
    • AI Regulation: AI Competence under Article 4, Labeling, and Copyright in Outline.
    • Classify your own use cases: permitted, permitted with conditions, not permitted.
Your benefit
  • You have a mental map of tools, organized by tasks rather than by providers, and can find the right tool for a new task in just a few minutes.
  • You write instructions that produce useful results, and you refine a weak result rather than starting over.
  • You'll bring a collection of prompts containing at least five building blocks, written and tested in the training .
  • You check the AI's output: request supporting documents, evaluate sources, and verify the numbers.
  • You built your own assistant.
  • You know which of your data can be shared in a public tool and which cannot.
  • You can determine whether a paid version is worth it for your needs because you've tried both options side by side.
  • You'll go home with a 30-day transition plan that includes three tasks from your own area of responsibility.
